Welcome to the BIR – Self Administered version
There will be times when you need assistance with the review – this page and the SA help FAQ pages will guide you through.
Pre setup
Before setting up the BIR consider how many people and at what level they are in your organization.
Generally speaking most organizations have 2 levels – Managers and Staff.
Where managers are STRATEGIC DECISION MAKERS. First line managers are not and should be included in staff.
In more complex organizations, heads of departments may well be considered to be Managers and directors or VP’s Board, in which case three groups will be used. If you need to have results split by division or department then please ask an accredited consultant to manage the process for you as they have access to more options.
Setup
Once you have set up your BIR keep the access and login information safe – you will need this…
Communicate
Using the login information provided to you – send directions to your people. It is best to only send the access for a given group to that population – not to send a general communication.
- Send access instructions
- Give a closing date
- Assure them that you will not be able to see individual responses from staff (you wont!)
- Tell them how and when you will share the findings and your process for action – this is important and important that you stick to it.
Print the Results
After your ‘closing date’ use your access details to go into the RapidBI BIR reporting centre. Form here you will generate the report.
Save and print the PDF.
Understanding the results
Using the guide in the admin centre, use this as an agenda to explore the results with your team.
Remember there is no right or wrong – its about relevance for where the organization is in terms of growth, maturity, market, sales etc…
The BIR is a feedback tool not an analysis.
Draw some conclusions and priorities
At the meeting with your decision markets, once having understood what the outputs are telling you draw some conclusions – no more than 10 – 5 is ideal – any more and you just wont take action…
Develop an action plan
Link any actions you have identified with your action plan.
Make simple straight forward changes, Keep it short and simple.
Make sure that all key stake holders are bought in to the action plan – if they don’t own it – again it wont happen.
Communicate the action plan
The plan needs to be communicated to all.
We have found that by sharing the graphs (at least the ones where staff contributed) with staff and then the action plan a lot can happen.
Monitor the plan
What gets measured – gets done – keep an eye on things.
The more regular things are checked – the more likely the actions are seen as ‘the way we do things around here’.
This also helps to keep the plan on peoples agendas. Your teams and managers are busy people – and as the old saying goes – when you are up to your back side in alligators.. you forget your original job was to clear the swamp.
Keep reminding people.
Closing the loop
The BIR has the ability to benchmark one set of results with another. At the present this is only available via accredited consultants – however worth thinking about. We may look at automating this process in due course. Let us know if this is something you would be interested in.

Step by step BIR setup:
First step of login –
Returning users on the left – new purchasers on the right.
Step 1 – Enter your details:
This screen sets up the basic information on you and sets you as the ‘admin’ for the review.
You need to identify a unique username and a secure password. You will use these for access to the admin control panel to manage the reports later. The contact details are for verification and in case we need to contact you later.
Important note – our system does not accept ‘free email addresses’ only corporate email addreses. However when making payment via PayPal, their system will accept personal email addresses if required.
Step 2: Select a review type and a response package..
Please select the package of the number of internal responders you require. (Customers and suppliers are additional and included)
The first action you need to do is to identify the correct review – BIR-s, BIR-c or BIR-hr
The BIR-s, is a review for a TEAM managed company or organization. (board or management team led.
The BIR-c, is for a company that is led by one individual – often the owner of the company
The BIR-hr is generally for internal HR or OD teams and only looks at management skills and culture in the organization. It does NOT look at finance, marketing or operations elements.
Once the review type has been selected it cannot be changed.
Next click on the purchase link for the appropriate TOTAL number of responders you expect – we advise all staff / employees should participate and have priced to support this decision.
From here you will be taken to PayPal for payment. Sorry but we only allow invoicing for our accredited consultants.
On return from PayPal we go into setting up the company to be reviewed.
Step 3 – Setting up the company data
This basic information provides data for future benchmarking. Please enter accurate information. For the “business Location” the format <town/ city>, <country/ state> is helpful.

This information is collected to enable improved benchmarking at a later date.
Step 4 – Set login information for participants.
This part of the process will take you through the allocation of the number of responders for each group.
- First of all you are asked if you require staff to be involved – then how many staff responders
- The next screen asks how many managers to be involved. IMPORTANT NOTE – managers in the BIR context are heads of department, those people that take some level of strategic decision making, NOT ANYONE WITH “MANAGER” IN THEIR JOB TITLE.
- Finally you are asked how many board members – a board may be a committee, or ‘top team’ these are the top decision makers in your company or organization.
As a part of all BIR reviews we provide you with the opportunity to invite customers and suppliers as standard – access details will be in your admin control panel.
Step 5 – Basic setup complete
Ok so now the basic setup is complete. On the lower half of this screen is key information you will need to keep:
This includes the login URL, and the various usernames and passwords unique for your company. his information needs to be communicated to appropriate groups.
Please note –
- WE DO ask names of managers and board (but do not attribute comments to individuals)
- WE DO NOT ask names of staff or have ANY way of identifying them or their responses.
Setup complete
To view the company and how many responses have been complete, or to produce the report on completion login to the admin control panel.
